Below is how to schedule spaces for the locations that are currently in the system, and when the rest of the locations are added, this is how you will schedule a space for all of campus.
1. Open Google Calendar, and click on the calendar for the date and time where you would like to reserve a space. Click "Add rooms" to see the list of available spaces to schedule at that time.
2. Select your room from the list, and then click the back arrow at the top left next to "All rooms & resources".
You will see your room selected in the calendar event you are creating.
Finish creating your Google calendar event as you normally would, and then save. That's it!.
If you would like to see all of the events already scheduled in a certain space, in order to plan the best time for your event or meeting, follow these directions:
1. Go to your Google Calendar and click the "+" next to "Other Calendars" at the bottom left of your page.
If this isn't showing on your calendar, click the three horizontal lines at the top left of the page to expand this section.
2. Click "Browse Resources"
3. Click the drop-down arrow on the building you are looking at, hover over the room you want to see, and click the eye to preview.
That will open a calendar for that space where you can view all reserved events on a weekly or monthly format. This might be useful if you are trying to plan an event in a specific space that is in use often.
All spaces on campus will eventually be added to this list. Please try this first when scheduling a space, and if your space isn't added yet, email
[email protected]edu and let me know the date, time, and location of your event, and I will let you know about the availability. I will update the campus when all spaces have been added to the calendar scheduling system.
Please note that for Covid-19 purposes, we are following the executive order of no more than 10 people in an indoor space and 25 in an outdoor space, and we need to maintain social distancing of 6 feet as well.
Crew Meetings: I will be blocking out the reserved crew meeting time for suitable outdoor locations, and giving that to the Work Program Office. They will be developing a system to fairly rotate spaces for crew meetings, so please email
